A Transportation Checklist for South Florida Events

Keep guest movement organized with clear venue addresses, arrival deadlines, pickup windows, return plans, and one point of contact.

Start with the event schedule Share the venue's full address, event date, the time guests need to be there, and the first pickup location. The guest arrival deadline is often more useful than the program's start time. For several hotels or groups, list each stop in order and identify whether all passengers travel together.

Plan the return as its own trip A one-way transfer does not imply a vehicle will stand by. Provide a return date, preferred pickup time, and pickup location, or describe the expected duration and request review for hourly service. If the event ends at different times for different guests, separate those movements in the itinerary.

Prepare for venue changes Venues may have designated loading areas, security procedures, and traffic restrictions that vary by event. Confirm event-specific access instructions with the venue; share them with your transportation coordinator. Include luggage, mobility needs, vehicle preferences, and a reachable onsite contact. Changes to timing or stops should be reviewed before the trip rather than assumed to be included in an earlier quote.
